Early arrival or late departure:
Please note that the check in time for the Conference hotels is from 2.00pm. Please indicate or notify the Conference Organisers in writing if you will be arriving early, as it
may require you to pre-register the night before to guarantee immediate access to your hotel room.
Please also indicate or notify the Conference Organisers in writing if you will arrive at your hotel after 6.00pm, as failure to do so may
mean your room will be released.
How to book your accommodation:
Please indicate on the registration form your accommodation requirements listing hotels in preferential order 1, 2, 3 etc. As there is limited space available at each
hotel, it is important that you book early. Accommodation will be allocated strictly in order of receipt of registration form and credit card guarantee.
For apartment style accommodation, please make your request for bedding configurations at the time of booking.
Change of booking:
Any change to a reservation must be notified to the Conference Organisers in writing, not directly to the hotel.
Payment of accommodation:
Accommodation accounts are to be settled by the delegate on site direct with the Hotel. To secure your accommodation booking please provide your credit card details on the registration form. The Conference Organisers will forward your credit card details to the hotel as a guarantee only. If no credit card details are given - a payment of one night deposit is required to secure your booking.
Deadlines:
The hotels impose strict cut off dates of 30 days prior to arrival; therefore any bookings made after 31 August 2010 will be on request only.
Cancellation Policy:
For cancellations of reservations please refer to the individual hotel. Any amendments to your original accommodation booking must be forwarded in writing to the Conference Organisers.
Jupiters, Sofitel & Meriton:
For cancellations 30 days to 72 hours prior to arrival, a one night cancellation fee is payable. For cancellations within 72 hours of arrival or failure to check in will incur a 100% cancellation fee of all nights booked.
Mantra Sierra:
For cancellations 60 to 22 days prior to arrival, a one night cancellation fee is payable. For cancellations 21 days prior to arrival or failure to check in will incur a 100% cancellation fee.
